Terms & Conditions
Effective August 24, 2026 — this version supersedes all prior Terms & Conditions.
Portrait Club is a highly rated, 5-star black and white portrait studio. Our dedicated team is committed to giving a fully professional experience to everyone we work with. Like any in-demand small business, we require a confirmation fee (retainer or deposit) to reserve your date and time. This fee is credited to any purchase you choose to make at your ordering/viewing appointment, or is refunded subject to the conditions outlined below.
These Terms apply to all Legacy portrait sessions and Boudoir sessions (The Flirt and The Luxe Experience). Boudoir sessions also have additional terms specific to that category — see Section 5.
01 Booking Confirmation / Reservation Retainer — Legacy Sessions
Portrait Club is a high-end, reservation-based portrait studio. When you book a session, your appointment time is reserved exclusively for you and other clients are turned away. A reservation retainer is required to secure your session. This retainer is applied toward any purchase made at your photo viewing/ordering appointment.
Refund Eligibility
Your reservation retainer is only eligible for refund under the following conditions:
- You attend your scheduled portrait session, and
- You attend your photo viewing/ordering appointment, and
- You choose not to purchase any images
If all three conditions are met, the studio may offer a complimentary reshoot. Reshoots are offered as a courtesy and are not guaranteed. If a reshoot is provided and you again choose not to purchase after attending the second session and viewing appointment, your retainer will be refunded in full.
Determination of dissatisfaction and eligibility for a reshoot is at the sole discretion of Portrait Club. Refunds are not provided for cancellations or missed appointments, regardless of the reason, as your session time is reserved exclusively for you.
02 Cancellations & Rescheduling — Legacy Sessions
- If you cancel your session, the retainer is not refundable, regardless of how much notice is given.
- If you fail to attend the session or the viewing appointment, the retainer is forfeited.
- Cancellations made within 24 hours of your appointment automatically forfeit the retainer.
- If you cancel or reschedule more than two times, the retainer will be forfeited and a new retainer will be required to book again.
- If you cancel or reschedule before attending your session (and it is not within the 24-hour window or beyond the allowed number of reschedules), the retainer may be held as a studio credit or transferable gift voucher at the studio's discretion.
03 Special Sessions
For Headshots, Pop-Up Studios, Charity Projects, Book Projects, and Holiday Specials, retainers are not refundable under any circumstances.
04 Pet Policy
- All pets must be up to date on rabies vaccination; please verify this with the studio before your appointment.
- If vaccination documentation is not available, your pet must remain leashed at all times during the session.
- Dogs must be walked and given a potty break before entering the studio.
- Owners are responsible for their children's and/or pet's behavior during the session, including any damage caused and any injury to Portrait Club staff or contractors.
- Portrait Club reserves the right to end a session early if a pet or child poses a safety or cleanliness risk, without refund.
05 Boudoir Sessions
Boudoir sessions (The Flirt and The Luxe Experience) are booked with a deposit rather than a standard retainer. Deposit amounts and refund terms differ by session type, as outlined below. All other general terms in this document (Pet Policy excluded) apply to boudoir sessions unless specifically overridden here.
Prior Credits & Gift Vouchers
Boudoir sessions booked prior to 8/24/2026 required a $249–$299 payment to cover hair and makeup, and clients were separately issued a $300 or $500 gift voucher to use toward a purchase. That gift voucher may not be combined with, or applied alongside, any deposit credit under these current Terms. If you are using a prior gift voucher toward a purchase, your new session deposit is not also credited toward that same order — the deposit for your new session must be paid separately and in full.
5a. The Flirt
The Flirt is a 45-minute, bring-your-own-glam boudoir session.
Hair & Makeup
The Flirt is a bring-your-own-glam session. Please arrive with your hair and makeup camera-ready. Recommendations for hair and makeup artists are available on request. If you use a spray tan, please ensure there are no visible lines.
What to Wear / Bring
Bring 2–3 outfits or lingerie sets you feel amazing in — lace, bodysuits, oversized sweaters, a men's white shirt, a favorite pair of heels, or anything that makes you feel confident and beautiful. Less is more, but options are always nice.
Your Deposit
A $100 deposit is required to reserve your session and is applied toward any purchase. This deposit is non-refundable except as outlined below.
Refund Eligibility
Your deposit is only eligible for refund if you:
- Attend your scheduled session, and
- Attend your photo viewing appointment, and
- Choose not to purchase any images, and
- Have completed a complimentary reshoot with us first and still choose not to purchase
If you do not attend your viewing appointment, your deposit is forfeited.
Cancellation & Rescheduling
Your appointment is reserved exclusively for you.
- Cancellations or reschedules made with less than 7 days' notice forfeit your deposit.
- Cancellations or changes made within 24 hours of your appointment, or failure to attend, result in forfeiture of your deposit and require a new deposit to rebook.
By booking a Flirt session, you agree to these Terms & Conditions, including this cancellation policy, and acknowledge that your deposit is non-refundable unless all attendance requirements above are met.
5b. The Luxe Experience
The Luxe Experience is our elevated boudoir session and includes professional hair and makeup styling as part of your package.
Your Deposit
A $249 deposit is required to reserve your session.
- This deposit is applied toward your purchase at your ordering/viewing appointment, provided you keep your originally scheduled appointment, or reschedule with at least 7 days' notice.
- If you cancel or reschedule with less than 7 days' notice, your deposit is forfeited and can no longer be applied toward your order.
- If you cancel or reschedule with less than 3 days' notice, a new deposit is required to book any future appointment.
Love It Guarantee
We want you to love your Luxe portraits. Your deposit is refundable only under the following conditions:
- You attend your scheduled session, and
- You attend your ordering/viewing appointment, and
- You choose not to purchase any images
If these conditions are met, we will offer a complimentary reshoot. The reshoot does not include hair and makeup styling, which is only provided as part of the original Luxe session. If, after attending the reshoot and viewing appointment, you still choose not to purchase, your $249 deposit will be refunded in full. Determination of eligibility for a reshoot is at the sole discretion of Portrait Club.
Minimum Purchase
The Luxe Experience requires a minimum purchase of $1,000 at your ordering/viewing appointment.
Because your hair and makeup artist is booked and compensated in advance on your behalf, deposits forfeited for cancellation, rescheduling, or no-show reasons (outlined above) are never refunded — the Love It Guarantee applies only to the satisfaction path described above.
06 Image Delivery & Gallery
- Digital files are delivered within 7–10 business days of your image reveal or ordering appointment via a private download gallery.
- Galleries are live for 30 days; after expiration, a $40 fee is required to reopen the gallery for viewing and purchasing only.
- Portrait Club retains copyright on all images produced; clients are granted personal use rights only.
07 Session Outcomes
Portrait Club makes every effort to deliver exceptional portraits. However, specific poses, expressions, or outcomes cannot be guaranteed as they are dependent on subject cooperation, mood, and participation. This applies to all session types, including children, pets, and boudoir sessions.
08 Late Arrivals
Late arrivals may result in a shortened session. No refunds, credits, or time extensions are given for late arrivals regardless of the reason.
09 Inclement Weather
Portrait Club will reach out the day before a scheduled session if weather conditions are likely to affect studio operations. Refunds are not given for weather-related cancellations; however, the studio will make every effort to reschedule affected clients on a new date.
10 Payments & Disputes
- A 3% credit card convenience fee is added to all orders paid by credit card.
- All sales are final. Once an order is placed, it cannot be changed or cancelled for any reason.
- By placing an order, you agree not to dispute or reverse the charge for products or services you have received. Any chargeback or payment dispute filed will incur a $200 dispute fee, in addition to the original order amount, and unpaid balances or disputed charges may be turned over to collections.
11 Agreement
By scheduling an appointment and paying any reservation fee, deposit, or retainer, you acknowledge that you have read, understood, and agreed to these Terms & Conditions in full.
